Small Actions, Big Impact
While “Bulk Actions” are great for managing thousands of emails, sometimes you need to zoom in.
- A customer made a typo in their email.
- A “Bad Actor” is spinning 50 times a day.
- A VIP client needs a personal note attached to their record.
The Individual Lead Management tools allow you to perform surgical edits on specific records. This guide covers the micro-interactions available for every single row in your database.
The Shield Icon (Blocking Cheaters)
The Spin Wheel is fun, but it attracts unwanted attention. If you see the same name appearing 10 times in 1 minute:
- Hover over the row.
- Click the Shield Icon.
- The Result: The user’s IP Address is instantly added to the “Blacklist” (found in Settings > Access Control). They will no longer be able to see or spin the wheel.
- Note: Use this carefully. Ensure it is actually a cheater and not just a very enthusiastic customer!
The Sticky Note (Internal CRM)
You can attach private comments to any lead.
- Scenario: A customer calls support saying their code didn’t work. You issue a new one manually.
- Action: Click the Note Icon on their row. Type: “Issued replacement code manual-55 on Nov 12 – Sarah.”
- Benefit: If your business partner checks the list next week, they see the note and know exactly what happened. It prevents confusion.
Copy to Clipboard (One-Click)
Next to the email address, you will see a small Copy Icon.
- The Problem: Trying to highlight text in a table with your mouse is annoying. You often miss a letter or grab extra whitespace.
- The Solution: Click the icon. The clean email is copied to your clipboard instantly.
- Use Case: Quickly pasting a winner’s email into Gmail to send a personal “Congrats” message.
Resending Emails (Troubleshooting)
“I didn’t get my coupon!” is the #1 support ticket you will receive. Usually, it went to Spam, or they deleted it.
- Find the user.
- Check the box next to their name.
- In “Bulk Actions”, select “Resend Winner Email”.
- Click Apply.
- The Logic: The system keeps a copy of the original “Win” event. It regenerates the exact same email (same code, same prize info) and fires it again. It does not generate a new coupon code.
Deleting & GDPR Compliance
Sometimes a user emails you: “Please delete my data.” (Right to be Forgotten).
- Soft Delete: Click “Trash” on their row. They move to the Trash folder. (This acts as a recycle bin).
- Hard Delete: Go to the Trash folder. Click “Delete Permanently”.
- Effect: The row is removed from the MySQL database. It is unrecoverable. This satisfies strict GDPR deletion requests.
5. Frequently Asked Questions (FAQ)
Q: Can I edit the Prize they won?
A: No. Only the User Details (Name/Email) are editable. The “Prize” and “Coupon Code” are historical facts of what the algorithm selected. Changing them would break the audit trail.
Q: Do users see the “Notes” I write?
A: No. Notes are strictly internal. They are stored in the database but never displayed on the frontend or sent in emails. They are for you and your admin team only.
Q: If I block a user (Shield), can I unblock them?
A: Yes. Blocking simply adds their IP to the text box in Settings > Access Control. To unblock, go to that settings page, find their IP in the list, delete it, and save.
Conclusion
Success is in the details. By giving you the power to Edit, Annotate, and Manage individual records, the Ultimate Spin Wheel dashboard empowers you to provide excellent customer support and keep your database clean and accurate.
