Exporting Reports: Shareable Intelligence

Exporting Reports from Ultimate Spin Wheel

Your marketing data should not stay locked inside the WordPress dashboard. You often need to share it with a manager, a client, or your accounting team. Ultimate Spin Wheel gives you two built-in export paths — a polished PDF analytics report for presentations and a raw CSV of your leads for spreadsheets. Both are included in the free plugin. This guide explains where each one lives, what it contains, and how the data is handled.

Two export methods:

  • PDF report — a branded analytics summary generated from the Dashboard (Analytics) view. Best for sharing performance at a glance.
  • CSV export — a full row-by-row dump of your captured leads from the Leads tab. Best for Excel, Google Sheets, or importing elsewhere.

1. The PDF Report (Analytics Summary)

The PDF export is built for presentation. It is generated in your browser from the analytics data already on screen and downloaded as ultimate-spin-wheel-report-[date].pdf. Because it is created client-side, none of your data is sent to an external service to build the file.

How to Generate

  1. Go to Spin Wheel > Dashboard (the analytics view that opens by default).
  2. (Optional) Choose a campaign and/or a date range. The PDF respects your active campaign and date filters.
  3. Click the Export PDF button in the top-right of the analytics header.
  4. Your browser builds the document and downloads it automatically.

What’s Inside

  • Branded header: Report title, the generation timestamp, and the selected campaign and period.
  • Executive Summary: A table of total and today’s Engagements, Winners, Leads, and Conversion Rate.
  • Today vs. Yesterday comparison: Engagements and winners with the percentage change.
  • Engagement quality insights: Daily engagement average and lead conversion rate against simple benchmarks.
  • Visual charts: Snapshots of your monthly trend line and prize-distribution chart.
  • Tables: Campaign Performance (engagements per campaign) and Top Redeemed Coupons.

2. The CSV Export (Raw Lead Data)

The CSV export is built for analysis. It is detailed, unstyled, and ready for Excel or Google Sheets. The file is generated on your server and streamed to your browser as a download.

How to Generate

  1. Go to Spin Wheel > Leads.
  2. (Optional) Narrow the list with the search box, a campaign filter, a date range, or a lead-stage filter. The export uses whatever filters are active.
  3. Click the export (download) icon in the Leads toolbar. The file downloads as leads-[filters]-[date].csv.

Columns in the File

Each row is one lead entry, with these columns:

  • ID — the unique entry ID.
  • Name, Email, Phone — the details the visitor submitted (phone is captured only in Pro).
  • Campaign ID and Campaign Title — which campaign the spin came from.
  • Result — Win or Loss.
  • Lead Stage — the entry’s status (for example New).
  • Coupon Title and Coupon Code — the prize won and its code (a dash for non-winning spins).
  • Created At — the timestamp, formatted in your site’s date/time and timezone settings.

The file includes a UTF-8 byte-order mark, so Excel opens accented characters and other Unicode correctly on the first try.

Use Case: A Retargeting List for Non-Winners

  1. Export the CSV and open it in a spreadsheet.
  2. Filter the Result column to show only Loss.
  3. Use those emails to build a consolation audience — for example, a “Sorry you missed out, here’s 5% off” follow-up.

Data Privacy & Security

  • Stays on your infrastructure: The CSV is built by your own server and the PDF is built in your browser. Neither export sends your lead data to any third-party cloud service to generate the file.
  • Nothing left behind: Exports are generated on demand and downloaded directly. The plugin does not keep a copy of the generated file sitting on the server.
  • Handle PII responsibly: The CSV contains names, emails, and (in Pro) phone numbers. Avoid emailing it unencrypted — share it through a secure drive or a password-protected archive.

Frequently Asked Questions

Can I automate exports on a schedule?

Both exports are on-demand only. If you want leads to flow out automatically, the Pro plugin’s integrations — including Zapier and Pabbly (Pro) — can push each new lead to a connected spreadsheet or CRM, giving you a live feed without exporting by hand.

Some characters look wrong in the PDF.

The PDF uses a standard built-in font that covers Latin characters well. Non-Latin scripts (such as Cyrillic, Greek, Arabic, or Asian languages) may not render correctly in the PDF. For full-fidelity records in those languages, use the CSV export instead, which preserves UTF-8 text.

My CSV came back empty.

Check your active filters. If the campaign, date range, search, or lead-stage filter matches no entries, there is nothing to export. Clear the filters and try again.

Why doesn’t the PDF match a custom date I typed?

The PDF is generated from the analytics currently loaded on the Dashboard. Apply your campaign and date filters first so the numbers refresh, then click Export PDF.
