Finding & Filtering Leads: Advanced Search

Needle in a Haystack? Not Anymore.

As your campaign succeeds, your list will grow. 100 leads becomes 1,000. Then 10,000. Finding “that one Customer who emailed support” can become a nightmare if you don’t have the right tools.

This guide explains how to use these tools to manage your data effectively.

Located at the top right of the table, this is your “Google” for leads.

What it Searches

Unlike simple plugins that only search Names, our engine indexes:

  • Email Address: (e.g., @gmail.com)
  • First/Last Name: (e.g., Smith)
  • Coupon Code: (e.g., spin-x9a) – Critical for Support!

Use Case: The “Lost Code” Ticket

A customer emails you: “I won a code yesterday but forgot to copy it. It started with SPIN-X…”

  1. Go to Leads.
  2. Type SPIN-X into the search bar.
  3. The table filters instantly.
  4. You find their row, copy the full code, and reply to them. Hero moment.

2. Advanced Filters (The Sidebar)

Click the Filter Icon to reveal the advanced options.

A. Date Range (Time Travel)

Marketing is chronological. You often want to see “What happened during the Black Friday sale?”

  • Presets: Buttons for “Today”, “Yesterday”, “Last 7 Days”.
  • Custom Range: A calendar picker to select specific start/end dates.
  • Why use this? To separate your “Weekend Traffic” from your “Weekday Traffic” and analyze the quality of leads.

B. Campaign Selector

If you run multiple campaigns (e.g., “Homepage”, “Exit Intent”, “Mobile”), the default view mixes them all together.

  • Action: Select “Homepage Wheel” from the dropdown.
  • Result: The table refreshes to show only leads generated by that specific popup.
  • Why use this? To compare performance. Maybe your “Exit Intent” wheel has a higher spam rate than your main wheel. Filtering lets you see this pattern.

C. Prize Filter

Want to see everyone who won the “Grand Prize”?

  • Select the prize label from the dropdown.
  • Marketing Tip: Export this list and send them a special “VIP” email.

3. Sorting Columns

Sometimes you don’t need to filter; you just need to re-order. Every column header is clickable.

  • Sort by Date: Click “Date” twice to see the Oldest leads first. (Useful for cleaning up old data).
  • Sort by Prize: Click “Prize” to group all winners of the same item together.
  • Sort by Status: Quickly group all “New” leads at the top.

4. Managing “Trash” & Deletion

We know mistakes happen. That’s why we have a “Soft Delete” system.

  1. Deleting: When you click “Delete” on a row, it doesn’t vanish. It moves to the “Trash” tab ( visible at the top).
  2. Restoring: Go to the Trash tab. Find the user. Click “Restore”. They instantly return to the main list.
  3. Permanent Delete: Inside the Trash tab, you can click “Delete Permanently”. This wipes the record from the SQL database forever. This cannot be undone.

5. Frequently Asked Questions (FAQ)

Q: Can I search by IP Address? 
A: Yes, if you have enabled “IP Logging” in the Privacy settings. Type the IP (e.g., 192.168...) into the main search bar to find all spins from that location. This is great for catching cheaters.

Q: Why is my search slow? 
A: Searching 500,000 rows can take a second or two. We use “Debouncing” (waiting until you stop typing) to prevent the server from crashing. Be patient; the results will appear.

Q: Does filtering affect the CSV Export? 
A: Yes! This is a feature, not a bug. If you filter for “Campaign A”, the Export button will give you a CSV of only Campaign A. This allows you to generate surgical reports.
