Exporting Leads to Excel/CSV

Whether you need to migrate to a new CRM, run a complex analysis in Excel, or simply keep a secure backup, our Export Engine makes it effortless to get your data out of WordPress and into your hands.

This guide explains the two export formats (CSV vs. PDF) and how to use them effectively.

1. The CSV Export (Raw Data)

Format: .csv (Comma Separated Values). Best For: Excel, Google Sheets, Importing into Mailchimp/Salesforce.

How to Generate

  1. Navigate to Spin Wheel > Leads.
  2. (Optional) Apply a Filter. The export respects your current view.
    • Example: If you filter by “Campaign: Christmas Sale”, the CSV will ONLY contain leads from that campaign.
  3. Click the “Export CSV” button in the top right toolbar.
  4. The download starts immediately.

Anatomy of the CSV File

The file contains the following columns:

  • ID: The unique database ID.
  • Email: The user’s address.
  • First_Name: (If collected).
  • Last_Name: (If collected).
  • Phone: (If collected).
  • Prize_Label: The name of the slice they won.
  • Coupon_Code: The unique code issued.
  • Date_Created: ISO 8601 Timestamp.
  • Campaign_ID: Numerical ID of the wheel.

Use Case: Retargeting Ads

  1. Export the CSV.
  2. Open in Excel.
  3. Filter the Prize_Label column to find everyone who won “No Prize” or a small discount.
  4. Copy these emails.
  5. Upload them to Facebook Ads Manager as a “Custom Audience.”
  6. Run an ad targeting them: “Didn’t get lucky? Here is a second chance!”

2. The PDF Export (Presentation)

Format: .pdf (Portable Document Format). Best For: Reports, Invoices, Team Meetings, Physical Archives.

How to Generate

  1. Navigate to Spin Wheel > Analytics. (Note: PDF generation is located in the Analytics tab, not the Leads tab).
  2. Click “Export PDF”.

Why PDF?

  • Visuals: Unlike CSV (which is just text), the PDF captures the Charts and Graphs.
  • Branding: It looks like a professional agency report.
  • Readability: It summarizes the data (e.g., “Total Leads: 500”) rather than listing every single email.

3. Security & Privacy (GDPR/CCPA)

Handling lists of personal emails carries legal responsibility.

  • Secure Transfer: The export is generated locally on your server and downloaded via your browser’s HTTPS connection. We (the plugin developers) never see your CSV files.
  • Temporary Files: The system uses a temporary directory to build the CSV. This file is deleted immediately after the download triggers, ensuring no “ghost copies” are left on your server storage.
  • Password Protection: The raw CSV is not password protected. It is your responsibility to store it securely once it is on your computer.

4. Troubleshooting Common Issues

“The data looks like garbage text!”

  • Cause: You opened the CSV in “Notepad” or “TextEdit”.
  • Fix: Always open CSV files in Microsoft Excel, Apple Numbers, or Google Sheets. These programs know how to format the commas into neat columns.

“Asian/Arabic characters are ???”

  • Cause: Determining character encoding (UTF-8 vs BOM) is tricky for Excel.
  • Fix: If Excel mangles the characters:
    1. Open deep Excel.
    2. Go to Data > Get Data > From Text/CSV.
    3. Select the file and choose “File Origin: 65001: Unicode (UTF-8)”.

“Export is empty (0 rows)”

  • Cause: You possess active filters that returned no results.
  • Fix: Click the “Reset Filters” button on the dashboard and try exporting again.

5. Frequently Asked Questions (FAQ)

Q: Can I automate this? (e.g., Daily Email) A: The native export is manual. To automate data flow, please use our Zapier Integration or Webhooks, which send data row-by-row in real-time as it happens.

Q: Is there a limit on rows? A: We tested up to 100,000 rows. The export might take 10-20 seconds to generate for large lists, but it chunks the data to prevent your server from crashing (Timeouts).
